Team Rep positions are becoming more and more difficult to determine. Decisions
will not be made until after teams are set. Allow us to explain some of the determining factors we use to select the rep:
Served previous years as a team rep and
performed a good job.
Someone that is organized, efficient,
checks email often and responds promptly- very important.
Financial need: this is not a primary
factor, but does come into play. Includes multiple daughters in the
club.
Number of years with Club South.
Access to email (both during day and
weekends)
Due to simply having some bad
team reps in the past that simply did little to nothing to assist parents, lack
of email correspondence with communication to parents, along with keeping Jimmy
informed ; we will install a standard in our system this year and if not met,
the team rep will be replaced.
Team reps will be evaluated early February with our mid year surveys, just
as our coaches, administration, and club is evaluated for satisfaction.
If the team rep get poor scores, we will have to re-evaluate at this time.
With this in mind, everyone needs to make sure they have time to communicate
to parents, mostly via email (Coping Jimmy) and do other required duties.

Team Rep Duties
We have outlined some of the duties that Team Reps will be
responsible for. Team reps will be assigned shortly after teams are
assigned. Parents who have served as team reps before will have seniority
over other request.
Don’t
procrastinate! When information is needed, please get to it immediately.
Check Email
daily. This will be my primary method of communication to all reps and
parents. I prefer that team reps have access to email at home and work. When I
send email to each of you specifically (it will say to: team reps)
please respond to verify receipt of the email. Expect to make approximately 2
or 3 calls per month to each team member. This may include last minute changes
in practice, tournament changes, or important announcements. I will notify you
when these calls need to be made. The good news is 90% of our families have
email. The majority of the news will be sent out to everyone from me, and will
not need to be sent out again by the team reps. I do ask sometimes you verify
that all your parents/players received important news.
You must copy Jimmy on emails you send out.
We do ask
parents without email to contact you, but if you have not heard from one of
these parents, please call them with any important news.
Initially
you need to call or Email the players, parents, and the coach that you are the
team rep. Make sure they know how to get in touch with you, inform them of
work, mobile and home numbers.
Assist with
tournaments by confirming that all players on your team have a ride to and
from the tournament. Most parents attend, very few players will need car
pools, but those who do, you may need to assist them in finding a ride.
Confirm transportation a minimum of one week in advance. All players are
required to inform the coach and you a minimum of 3 weeks in advance if they
can’t attend a tournament and 24 hours in advance for a practice. I require
you keep a record of attendance for each tournament, if a player does not
attend, the date they informed you. This will be remitted to me
monthly.
On
tournament days, coordinate lunch meal plans with other parents and what each
person needs to bring. We encourage that players/families eat together and
prefer players not leave the gym. Eat healthy. Include sufficient food for the
coach.
For our
travel tournaments (Charleston, Atlanta and Tampa) you will need to coordinate
who is going, parents attending, is the player staying with their parents,
when are they arriving, car pooling, roommates, etc. We need this
information by the end of January for these tournaments. We prefer that
everyone stay in the same hotel; CSV will line up blocks of rooms at local
hotels for each tournament. If a family is staying elsewhere, know their
location and how to get in touch with them should we need to. If a
parent does not attend, we require that the player stay with another parent.
They should be responsible for lining this up.
When we have
to call players for important information (practice is cancelled or moved,
tournament changes) you will be responsible for calling “everyone” on the
team. It is very important that everyone gets called.
Each team
rep will be considered as the liaison between the parent/players and the
director. Should problems arise, or you foresee problems, notify the
director.
You will be
the contact for any communication that the coach needs to communicate to the
team.
We will host
up to 2 tournaments. You will be responsible for (1) Helping set up gym site
on Friday afternoon-evening. Should only be about 1 hour. (2) be responsible
for T-shirt sales at gym site your daughter is at or be a gym supervisor.
During
tournaments, you are responsible for keeping up with all the balls we take to
the tournament. Please encourage parents to shag balls during warm-ups,
preventing players from chasing balls.
After each
tournament, you may be responsible for reporting game/match scores to Jimmy by
the following Tuesday. Report form will be provided and can be remitted via
fax or email attachment.
